Open position: Grants and Development Coordinator

Position Summary

The Development Coordinator provides support for a wide range of fundraising activities to help identify, cultivate, solicit, and steward individual donors, foundations and government agencies; coordinates proposal development with senior staff and ACT’s international offices; and ensures the fluid workflow of the development team.

Reports To

  • Reports to: Senior Director of Program Operations
  • Collaborates with: President, Coordinator of Corporate Partnerships, and leadership of ACT’s international offices
  • Supervises: This position currently has no supervisory responsibilities.


Principal Functions

The essential duties and responsibilities of the position will include, but are not limited to:

  • Researching, identifying and determining new funding opportunities, primarily focusing on large foundations, government agencies, and bilateral and multilateral agencies
  • Conducting prospect research on individuals and foundations
  • Working with senior staff and international program directors/staff to coordinate and prepare grant proposals and applications
  • Maintaining a grants calendar to ensure timely submission of proposals, and assuming responsibility for keeping all relevant staff apprised of upcoming proposal deadlines
  • Responsible for prompting senior staff regarding development follow-up and outreach needs, and for debriefing senior staff following donor/prospect contact and entering this data into the donor database
  • Coordinating mail and email appeals across the year
  • Assisting in the development and implementation of the annual fundraising plan and annual stewardship plans for donors
  • As requested by and in coordination with the executive team, conducting occasional in-person outreach to funders, and very occasional visits to field sites
  • In coordination with the Office Coordinator and development team, assisting senior staff in preparing for fundraising trips and donor visits
  • Assisting in preparations for special fundraising events


  • Supporting the development of and the update of content for internal and external communications needs, as requested by the communications team
  • Managing the appropriate development software and technology platform, and ensuring the accurate maintenance of donor records and development-related activities and information
  • Properly organizing and filing all development-related correspondence (e.g. proposals, applications, letters, acknowledgments) on SharePoint

Required Education And Experience

Preferred Qualifications

  • College degree or equivalent education
  • Preferred 3-5 years’ experience in a nonprofit setting and optimally in the area of fundraising
  • Demonstrated ability to compose and manage comprehensive grant proposals and government contracts
  • Experience with fundraising databases such as Abila FR50 and web-based applications
  • Native-level English speaker
  • Preferred conversational ability in Spanish, minimum ability to read Spanish; Portuguese and/or Dutch a plus
  • Strong writing and compositional skills
  • International field experience desirable

Minimum Qualifications

  • Proficiency in Microsoft Office products (Word, Excel, PowerPoint, Outlook)
  • Experience in managing development projects, including coordination with other departments within an organization
  • Experience in researching grant-makers


  • Demonstrated ability to multi-task with acute attention to detail; excellent organizational and administrative skills
  • Ability to work independently and effectively under pressure in a rapidly changing professional environment
  • Ability to work in a multicultural, multi-ethnic environment with respect for diversity
  • Diplomacy and good interpersonal skills, with the ability to remain calm under pressure and not lose sight of strategic priorities
  • Excellent oral and interpersonal communication skills

Physical Requirements

  • This position will be working in a typical office setting, with no extremes in temperature or lighting. 
  • Domestic and international travel may be required.
